Microsoft 365 Email Explained
Microsoft 365 is the most widely used business email platform in Singapore, and also one of the most under-configured. This guide explains what Exchange Online includes by default, where small businesses typically leave gaps, and what proper ongoing management adds.
What Exchange Online actually is
Exchange Online is the mail server component of Microsoft 365 - the system that stores mailboxes, calendars, and contacts, and routes mail in and out of your domain. Outlook, whether desktop, web, or mobile, is simply a client application that connects to it. Licensing Microsoft 365 gets you access to Exchange Online; it does not automatically configure it correctly for your business.
Where the defaults fall short
Microsoft 365's default configuration is designed to work broadly, not to be optimal for any single domain. In practice, this means:
- Email authentication - SPF, DKIM, and DMARC records need to be deliberately set up in your domain's DNS. Without them, your domain is more vulnerable to spoofing and your legitimate mail is more likely to be marked as spam by recipients.
- Microsoft Defender policies - anti-phishing and anti-malware policies exist, but the baseline settings are often looser than a business actually wants.
- Shared mailboxes and distribution lists - these accumulate over time with unclear ownership if nobody is actively managing them.
The account lifecycle problem
The single most common gap in unmanaged Microsoft 365 environments is the account lifecycle. When a staff member joins, licence assignment and initial configuration are often rushed. When someone leaves, deactivation is frequently forgotten entirely - leaving a licensed, accessible mailbox for months after the person has gone. This is both a direct cost (an unused licence) and a security exposure (an account nobody is watching).
What proper management adds
